Required Clearances Information
Required Clearances: Students serving at many of our Community Partner Organizations are required by SJU and their CPO to complete up to four clearances (below). Please check your Course-CPO "Placement Description" to learn which clearances you are required to complete for your specific CPO before Service-Learning begins.

- Please note, some CPOs require various medical verifications or vaccines, including specific Covid-19 requirements; please refer to your Placement Description for any possible medical clearances.
Clearance Workshops: Placement Liaisons are hosting workshops for Service-Learning students to work on applying for clearances with support and have their questions answered. Please stop by any of the following workshops, hosted in the Post Learning Commons Wachterhauser Seminar Room.

Service Code: 1KG6RT to begin the pre-enrollment. Enter your personal information.
- Students must register for a fingerprint appointment; all students requiring fingerprints will receive an email with the registration link . This information is also given during Placement Awareness Training and at Clearance Workshops. Please follow the instructions below on how to create an IdentoGo account and register for fingerprint appointments.
- The only clearance with a financial cost is the FBI Fingerprint clearance. Students will pay for cost of fingerprint (~$25) at appointment at the time of their appointment; there is an opportunity for reimbursement with correct and timely upload. You will need to have a credit/debit card or money order to complete the FBI Fingerprint check.

- Fingerprinting is also available off campus at the following locations:
Fingerprint Results Process
- FBI Fingerprints Clearance unofficial results are emailed to individuals within 24-48 hours of your appointment.
- Danielle Critelli can print-off clearance results with your UEID number (given at registration and payment).
- Results are also available over the phone or mailed to your mailing address within two weeks of appointment.

- Please use this Google Form link to select a time to pick-up your fingerprint results.
- All pick up options are dependent on PL Office Hours
- All other clearance results can be accessed by the individual applicant electronically.
Fingerprint Reimbursement Process
- In order to be qualified for reimbursement for your FBI Background Check, you will need to:
- submit a picture of your payment receipt (with your name and SJU ID# written on top) to this Google Form link
- AND upload all required correct clearance certificates (can be up to four) to the Nest (instructions).
- We submit a request for your reimbursement; however, it could take up to several weeks for you to receive the funding. Please check your bank accounts as well as your home address for a check mailed to you.

Instructions for applying for the PA Criminal Background Clearance
- PA Criminal Record Check (Free):
- Registration Site
- Click on “New Record Check- Volunteers Only”
- Click box for “Volunteer Acknowledgement Section” and enter your information on next page.
- Either immediately, or up to 48 hours later, your results will be available. Enter your information, click the hyperlinked control/record number, and click “Certification Form” and save your results to your computer/a flashdrive (results may take within 21 days if a record reported or pending).
- You should not be charged for this clearance. If you are charged for another clearance, this will not be reimbursed by the Faith-Justice Institute.

Instructions for applying for the PA Child Abuse History Clearance
- PA Child Abuse Check (Free):
- Registration Site: https://www.compass.state.pa.us/cwis/public/home
- Select “Create a New Account” (if first time doing clearances online) or Login. You will create your own personal Keystone ID.
- Once you submit your information, you’ll receive a temporary password via email. Select “Log-in” and use your Keystone ID and temporary password. Create your permanent password.
- Once you are logged in with your permanent password, review the disclosures (follow prompts) and select “Create Clearance Application”
- Follow the prompts to complete the application. Your reason for the clearance is “volunteer".
- Please note when prompted for Certificate Delivery Method, in order for your clearance to be processed electronically, you must check NO
- Click on “Finalize and Submit Application.” You should not be charged for this clearance. If you are charged for another clearance, this will not be reimbursed by the Faith-Justice Institute.
- You will receive an email notice when the background check is finished processing. Save your results on your computer/flash drive
- Receiving the results for this clearance can take up to 14 business days.

Accessing “Protecting Children: Identifying and Reporting Sexual Misconduct” (SJU Minors on Campus):
This training will take about 30 minutes, but you can stop and pick up where you left off at a later time. This certificate is free and required of all SJU community members working with minors.
A log-in will be required. A certificate will be produced once you complete the video course; please upload that to the Nest (does not need to be shared with your CPO).

*It is highly recommended to use Google Chrome or Firefox, as there are some issues with certain versions of Internet Explorer. Please note that your pop-ups must be enabled to do this training (if they are not, you will receive a notice at the top or bottom of your screen when you try to go to the first module that says "enable pop-up blockers" and you should select yes).

Clearance Results
If any of your background checks are returned with a reported record, please contact Jill Welsh, Director of the Faith-Justice Institute, at jill.welsh@sju.edu or 610-660-1765, to discuss and/or schedule an appointment as soon as possible.
The following clearance results can be accessed independently and electronically. The instructions for the FBI Fingerprint Clearance can be found above.
- PA Criminal Background Clearance might be available immediately or up to 48 hours of after electronic submission.
- PA Child Abuse History Clearance usually takes four to five business days to process, but can take up to two weeks for results to be ready.
- SJU Minors on Campus video certificate is produced once the user completes the virtual training video.
Instructions for Uploading all Clearance Certificates
This is a two part process.
- You need to upload your required background reports and certificates to the Nest
- and submit copies of your reports to the community partner supervisor your first week of service
- First, double-check that you have all the necessary clearance reports and certificates saved to your computer or flash drive. You want to upload your completed background check clearance reports and Minors on Campus Certificate.
- Login to SJU Nest using your SJU student login.
- On the home screen, find “Student” under “Administrative services” and click on “Student clearances”
- That bring you to an “Upload Documents” page. Click the dropdown for “document type” and select “Faith-Justice Institute, Service-Learning” as your department. Upload the correct document for each requirement.
