For internal departments and student organizations, the Conference and Event Services team offers consultation services to help you find the perfect space for your event within our university facilities. We also provide guidance for coordinating services with various university departments, streamlining the planning process for you.

To arrange walkthroughs or request AV equipment for your event, please complete a Team Dynamix ticket no later than 10 days prior to the event.
Zoom has become a popular platform for web conferencing, and all SJU staff, faculty and students have access under our Zoom license. Zoom meetings can support up to 300 attendees and meetings can be scheduled independently by any staff, faculty or student. The IT department offers a full range of support, including tips and troubleshooting.

For Facilities or Grounds support needs, such as requesting a garden hose, a spider box for power, or outdoor trash cans for an outdoor event, please submit an Asset Essentials work order. Please include your organization's Cost Center for potential chargeback fees.

Guest parking is available at Hawks Landing Parking Garage. Parking rates can be found on the Public Safety website.

Events at SJU can be promoted via the university calendar, on This Week@SJU, flyers, chalking, and digital displays.
- University Calendar Listing
- All events open to the SJU community, including students, faculty, staff and alumni, should be submitted to the University Calendar.
- Please include the event name, description, location, date, time and submit your event info here: https://www.sju.edu/events/submit-an-event
- Events should be submitted to the University Calendar 4 to 6 weeks prior to an event. For approving and posting, allow a minimum of 2 business days to a week.
NOTE: For routine meetings, smaller student events, or any other events that do not require promotion, please submit 1 week to 10 days prior.
- This Week @ SJU
- For potential promotion/coverage, submit events to sjunews@sju.edu 4-6 weeks prior to your event. This Week @ SJU has targeted versions for different audiences, and locations, and is an effective promotional tool. Please note that given the sheer volume of university events and space constraints, MarComm needs to use editorial judgment in selecting events for promotion.

- Campus Posting Policy:
- Postings by students and student organizations must be approved by the Office of Student Leadership & Activities, located in Campion 302 (Hawk Hill) or in the Living Learning Commons 129 (University City) or Campus Life & Student Engagement Suite (Lancaster (Cooper Building)).

- Students and/or student organizations wishing to chalk on campus must submit the Chalking Request Form at least two business days before the proposed use. The request must include the desired text, design, and location of the chalking.
